AI call transfer when the conversation needs your team

Some questions need a person who knows the work. Aria can connect an eligible caller with the team contact you choose, using your instructions about which requests should be transferred and when.

Illustrative staff transfer

Caller: Can I speak to someone about an existing order?

Aria: I can try the team contact assigned to existing orders.

Aria attempts a direct connection without a warm introduction. Whether someone answers depends on the receiving contact.

Set the reason, destination and hours

Choose when a person should take over

List the requests Aria should pass to staff: an existing order, a billing question or a request for a named contact. Keep routine answers within the information you supply.

Configure the receiving contact

Add the supported destination and its availability. Tell the people answering which kinds of calls to expect, then test the receiving phone during the intended hours.

Test an answered and unanswered attempt

Listen to the direct-transfer experience at the destination. Check what its phone system does when nobody answers and prepare a separate message path for known unavailability.

Give person-needed calls a defined destination

Route by the reason for calling

An existing-order question and a new sales enquiry may need different people. Describe those situations in your instructions and connect them to the appropriate contacts.

Match the contact to their availability

Set the hours when the chosen person or team expects calls. A destination number alone does not tell Aria whether someone is working or ready to answer.

Keep message-taking available as a separate path

When your instructions say a contact is unavailable, Aria can take a request for staff follow-up. Make that choice before attempting a transfer, with a clear explanation for the caller.

Requests that deserve a staff conversation

A customer with an existing order asks for the employee handling it. Aria uses the business's contact instructions instead of inventing an order update.

A caller wants to discuss a charge. The accounts contact receives eligible transfer attempts during their configured availability.

A caller asks for a manager who is away. The approved call flow collects a name, callback number and short message for the manager's later review.

What to expect from a transfer

Is this a warm transfer with an introduction?

The transfer described here connects the call directly to the destination. It does not brief the person answering before the connection or deliver a live introduction on the caller's behalf.

What happens if the receiving phone is not answered?

That depends on the receiving phone setup and the transfer result. An automatic return to Aria is not part of the flow described here. Test the destination's unanswered behavior before offering it to customers.

Can Aria promise that a staff member will answer?

No. Configured hours help determine when a transfer is appropriate, but they do not establish that a person will pick up. Give callers an accurate description of the connection being attempted.

Can we use a different contact after hours?

Use the destinations and availability supported by your agent setup, with clear instructions for when each is appropriate. Test the after-hours contact and make sure the receiving team knows its responsibility.

Will the person answering already have the transcript?

A direct transfer does not include a pre-connection transcript briefing. Staff can review enabled call records separately when available; the caller may need to explain the request to the person who answers.
