After-hours call handling that reflects your actual hours
Closing the office changes what you can offer a caller. Give Aria the information, booking options and contact instructions that apply when your team is away, so customers understand what can happen now and what needs follow-up.
Illustrative closed-office enquiry
Caller: I know the office is closed. Can someone help me arrange a consultation?
Aria: I can take your name, contact number and preferred time for the team.
The enquiry is available for staff review when call records are enabled; no immediate callback is promised.

Prepare the transition from open to closed
Set hours and forwarding together
Check your business timezone and the hours supplied to Aria. Match your phone provider's forwarding rules to the periods you want Aria to handle.
Write the closed-office next steps
Choose the routine answers, message questions and any eligible booking or staff-transfer path. Say clearly when a request will need review rather than promising immediate service.
Test both sides of closing time
Call just before and after your closing boundary, then test a closed-day request. Check the receiving contact's behavior separately and assign someone to review the saved enquiries.
An answered phone should set the right expectation
Explain when the team is available
Provide your business hours, timezone and approved wording for closed periods. A caller asking about a service should understand whether they are speaking with the office or leaving a request for later.
Keep routine enquiries moving
Aria can answer from your supplied business information and collect a name, contact number and reason for calling. Eligible appointment options can remain available when phone booking is enabled.
Reserve staff contact for the right requests
If someone takes after-hours calls, define the situations and contact availability explicitly. Your team owns decisions about service priority, attendance and response timing.
Three different reasons to call after closing
An evening caller asks whether you offer a particular service. Aria answers from the details you supply and records a more specific question for the office.
A customer calls on a closed day to request an appointment. Aria uses eligible booking options when enabled, or takes the preferred time for staff review.
An existing customer asks for the person handling their work. The call follows the contact instructions for that period, without implying the whole team is on duty.
Setting up your after-hours instructions
Is after-hours answering the same as an on-call service team?
No. Aria can handle the phone flow you prepare while employees are away. A person, technician or service provider is available only if your business has actually arranged that coverage.
Can we change the instructions for a holiday or closure?
Update the relevant hours, forwarding and business instructions before the closure, then test the result. Do not assume a public holiday calendar automatically changes your staffing or call flow.
Can callers book while the office is closed?
When phone booking is enabled, Aria can use the eligible services and availability in your scheduling setup. An approval-required appointment remains a request for your team to review.
Will Aria call people back when we reopen?
A callback request is for your team to act on. It does not schedule an automatic return call. Decide who reviews after-hours enquiries and what they should tell callers about follow-up.
How should we handle a request the caller says is urgent?
Supply your business's approved contact instructions and make its service limits clear. Aria's reception flow should not determine an emergency, promise a staff answer or give an arrival time.
