AI lead capture from phone calls

Know who called, what they need and how to reach them. Aria asks the questions you set for new enquiries, giving your team a starting point for follow-up.

How it works

Choose the questions that matter

Start with a name, callback number and reason for calling. Add a short question about the requested service or location when it helps your team respond.

Let callers explain the request

Use your agent instructions to ask those questions and confirm important names and numbers. A request for a repair needs different context from a first consultation.

Review before following up

Check the contact details and call records enabled in your account. Your team decides whether the enquiry fits, what to offer and who should respond.

Benefits

Understand the reason for calling

A request for a new quote and a question about existing work need different responses. Ask which kind of help the caller wants before collecting more detail.

Give the callback a starting point

The caller's contact number and a brief description help staff prepare for the next conversation. Ask Aria to repeat important details so the caller can correct them.

Keep useful conversation context

When transcripts or summaries are enabled, staff can review what the caller said. Details such as a vehicle model or service address may be in the conversation rather than a separate contact field.

Use cases

An auto repair caller describes the vehicle and requested work. Staff review the enquiry before discussing an inspection or estimate.

A salon caller asks about a service combination. Aria takes the request so a stylist can confirm the right service and appointment length.

A contractor's caller asks whether an address is covered. The enquiry includes the location and requested work for the team's review.

Plan how you will handle new enquiries

Choose which incoming calls Aria handles and how your team takes the next step.

Frequently asked questions

What information can my team review?

Aria can capture contact information such as a name, phone number and email when the caller supplies it. Other answers may appear in the call transcript or summary enabled in your account. Check a test call to see which details your setup retains.

Is a captured enquiry a qualified sales lead?

It is a starting point. Your team still needs to check whether the request fits your services, confirm the details and agree on the next step. Capturing a call does not establish a sale.

Does Aria send every enquiry to my CRM?

The enquiry workflow described here uses Aria's contact and call records. If you need an external CRM, ask us to verify support for that connection and which details it can transfer before including it in your follow-up process.

Will Aria automatically call the person back?

A captured callback request is for your team to follow up. It does not mean an automatic return call has been scheduled.

How do I test lead capture?

Call with a realistic enquiry and provide a name and callback number. Review the saved details, test an unclear answer and decide who on your team will follow up before forwarding customer calls.
