An AI answering service for auto repair shops.

Give callers a useful first conversation while your advisors help customers at the shop. Aria handles service questions, new repair inquiries and messages for your team.

A new repair inquiry

Caller: My car makes a noise when I brake. Can someone at the shop help?

Aria: What is the car’s year, make, and model, and what number can the service advisor use to reach you?

The vehicle description and reported concern for the service advisor to review.

A service inquiry does not authorize a repair

Repair-shop calls have different owners. A driver describing a new concern, a customer asking about an existing repair, a fleet contact, and someone checking tow or drop-off instructions should not all follow the same booking script.

A useful first message gives the advisor context without attempting a diagnosis. Let your service team decide what needs inspection, what work can be accepted and what information can be shared about a current job.

After hours, use a separate path for the questions your shop has approved. Aria can capture the vehicle, concern and requested next step or explain supplied drop-off instructions; it should not invent towing guidance, promise that a vehicle can be accepted, or estimate when work will be completed.

  • California’s Bureau of Automotive Repair explains that customers receive an estimate and authorize repairs before work begins. Keep an Aria inquiry separate from the shop’s estimate and authorization process; your service advisor confirms the work.

New work and current repairs compete for the phone

A new caller describes a vehicle problem while your advisors are helping walk-ins. Without the vehicle details and reason for calling, the next conversation starts over.

A customer checking on a car already in the shop needs their advisor, not another appointment. Those calls can get mixed in with new service requests.

Give the service advisor a clearer inquiry

Capture the driver's concern

Ask for the vehicle's year, make and model, what the driver noticed and a callback number. Use the driver's description to give your team context before an advisor discusses the work.

Separate current jobs from new inquiries

For a vehicle already at the shop, ask who the caller wants to reach and what they need to know. Aria can take an advisor callback request or try a configured transfer so your team can handle the current-job question.

Explain how your shop works

Give Aria your service list, hours and approved drop-off instructions. It can answer those everyday questions while your team handles diagnosis, repair approval and completion estimates.

Call paths for a working repair shop

Take a new repair inquiry with the vehicle description, reported concern and contact details.

Collect a message for an advisor about a vehicle already in the shop.

Capture approved tow or after-hours drop-off questions and route them using the shop's instructions.

Separate repair-status, parts-arrival and fleet-account messages so the right advisor receives useful context.

Answer approved service or drop-off questions; offer an eligible appointment only when booking is enabled.

New vehicle concerns and advisor messages

A driver calls about brake noise

A driver calls about a noise while braking. Aria asks for the vehicle details, records the concern in the caller's words and takes contact information for the service team. The advisor handles diagnosis and driving-safety questions.

A customer asks about a vehicle already at the shop

A customer wants to discuss a car they dropped off earlier. Aria asks which advisor they need and takes the message, or uses a configured team transfer. The advisor confirms the repair status and collection time.

Questions repair-shop owners ask

Can Aria tell a customer whether their car is ready?

Aria can take the customer's status question for an advisor or try a configured shop contact. It does not read live repair status from your shop software; your team confirms whether the vehicle is ready.

Can it quote a repair from the caller's description?

Aria can share service prices and conditions your shop has supplied. A concern that needs inspection should become an inquiry for the advisor, with your team confirming diagnosis, scope and price.

Do we have to let it schedule repair work?

No. Start with service questions and useful messages. If you want booking, enable only the appointments, services and availability your shop supports. An appointment does not approve repair work or promise a completion time.

Where can our team review what the caller said?

Use the call records, transcripts and summaries enabled in your account. Vehicle details discussed on the call can appear in that conversation record. This does not create a vehicle record or repair order in your shop software.
