Overflow answering for the calls your team cannot take

Keep your front desk answering first. When a busy line or unanswered call is forwarded to Aria, the AI receptionist can answer routine questions and collect the enquiry while staff finish the conversation in front of them.

Caller: I'm calling about an inspection for my van. Can someone explain what you need from me?

Aria: I can take your name, callback number and what you would like inspected for the service team to review.

The caller has a way to explain the request while the advisor finishes the in-person conversation.

Start with one overflow route

Choose the busy period

Start with a specific pressure point, such as morning check-ins or an office lunch break. Decide which calls staff should keep and which may go to Aria.

Confirm the forwarding behavior

Check busy and no-answer options with your phone provider. Test the actual business number, including how long it rings and whether voicemail answers first.

Prepare the next staff conversation

Choose the details Aria should ask for and who reviews the resulting enquiries. Test a routine question, a new request and a caller asking for a person.

Choose what leaves the front desk

Staff get the first chance to answer

An advisor may be checking in a customer while another caller needs a service quote. Use your phone provider's supported busy or no-answer forwarding to decide when that second conversation reaches Aria.

Give ordinary enquiries a useful response

Supply your hours, services and enquiry questions. Aria can explain that information and ask what the caller needs, instead of asking them to leave a message without any guidance.

Keep staff-only requests recognizable

A caller seeking an existing order update or a particular employee needs a different next step from a new enquiry. Set a message-taking path or an appropriate configured contact for those requests.

Keep the busy period manageable

Keep the conversation already underway

Overflow coverage lets your team finish helping the person they are speaking with while a forwarded caller explains a separate request.

Return to a clearer enquiry

A name, callback number and reason for calling give staff a starting point. Review the contact details and call records enabled in your account before following up.

Questions about overflow coverage

Can staff keep answering our existing number?

Yes, when your phone system supports the forwarding arrangement you choose. Staff can answer first, with busy or unanswered calls sent to the Aria number. Confirm the exact behavior and any provider charges before switching it on.

Does Aria decide when all our lines are busy?

Your carrier or phone system controls that trigger. Aria handles calls that reach it; the forwarding settings determine which calls those are.

Can an overflow caller book an appointment?

If appointment booking is enabled for the relevant service and availability, Aria can offer eligible options. You can also start with questions and enquiry capture, then add booking after testing the scheduling flow.

What if the caller needs the employee who is already busy?

Configure a message-taking path for that situation so the caller can explain what they need. A separate configured transfer may be useful for an available contact, but it does not guarantee someone will answer.

How should we evaluate overflow answering in a trial?

Recreate a busy line and a call staff leave unanswered. Check the greeting, the caller details and the next step, then have the person responsible for follow-up review the result. Expand coverage when that process works for your team.
