AI appointment booking for the services you choose
Give callers a way to choose an appointment while they are on the phone. Aria checks eligible times in your Aria scheduling setup, with your team reviewing requests that need approval.
Illustrative booking request
Caller: Could I book an initial consultation this week?
Aria: Let me check the available times for an initial consultation.
The caller chooses an eligible option; the booking result determines whether it is confirmed or awaiting approval.

From a caller's preference to an appointment
Prepare the appointment options
Enable phone booking and select the services, locations and resources that callers may book. Check durations and availability against how your team actually works.
Ask what the caller needs
Identify the requested service and preferred time, then collect the contact details needed for the appointment. Send uncertain service choices to staff instead of guessing.
Explain the booking result
Repeat the appointment details after the booking action succeeds. If approval is required or no suitable time is available, explain the request status and the next step.
Keep the service, time and booking status clear
Choose which services callers can book
A routine visit and an initial consultation may need different durations or staff. Make the appropriate services bookable and define their availability before Aria offers them to callers.
Offer an available option
Aria checks the scheduling options for the requested service. If the preferred time is unavailable, the conversation can move to another eligible slot or a request for staff follow-up.
Keep approval decisions with your team
Some appointments need a person's review before they can be confirmed. Tell callers when their request is pending so they know whether they have a booking or are waiting for an answer.
Some requests are ready to book. Others need a conversation.
A returning salon client asks for a service you have made bookable. Aria can offer eligible times for that service; an unfamiliar treatment combination goes to staff for review.
A consulting business accepts initial meetings. The caller chooses from the meeting options you publish, while questions about the work itself remain with the consultant.
An auto repair caller needs an inspection. The appointment reserves the visit you offer; it does not promise a diagnosis, repair price or completion time.
Questions about phone appointment booking
Do I have to offer booking to use Aria?
No. Phone answering, enquiry capture and staff transfers can be useful without appointments. Enable scheduling only if it fits your business.
Does phone booking connect to my existing external calendar?
The booking flow described here uses Aria's scheduling setup. If an external calendar or industry system is essential, ask us to confirm that exact connection before relying on it.
Can callers change or cancel an appointment?
Cancellation and rescheduling are available through eligible scheduling tools when enabled for the agent. Test the appointment types and change rules you intend to offer, including a request that needs staff review.
Will the caller receive a confirmation text?
A completed booking and a sent message are separate actions. Confirm any messaging workflow you need before promising a text or email; phone booking alone does not establish that a message will be sent.
What should I check during a trial?
Try an available appointment, an unavailable time and a request that requires approval. Check the appointment in Aria and listen for a clear explanation of whether it is confirmed or pending. Confirm scheduling access for your account first.
